Managing a padel club requires clear policies to ensure smooth operations. This guide explains how different policies work, making it easy for club managers to handle bookings, cancellations, payments, and refunds.
Booking Policies
Allowed Booking Durations
Club managers can set the allowed duration for court reservations per sport type. The available options are:
Padel: 60, 90 Min
Squash: 45 Min
Tennis: 60, 90, 120 Min
Default Booking Duration
Sets the duration that will be pre-selected in the player bookings view, so players don't have to manually choose every time:
Padel: 60 Min
Squash: 45 Min
Tennis: 120 Min
Book Ahead Limit
Controls how many days in advance players can make reservations. This can be configured per sport and per court group, helping balance demand and prevent excessive early bookings. Example defaults:
Padel courts: 1 day
Squash courts: 1 day
Tennis courts: 1 day
Booking Cancellation Allowed
Players can cancel their paid bookings if necessary. This gives them flexibility while ensuring courts don't go unused. Default: Yes
Recurring Booking Cancellation Allowed
Players can cancel individual reservations within a recurring booking without cancelling the entire series. Default: Yes
Booking Cancellation Time
The minimum number of hours before a booking that a player can cancel. This allows other members to book the freed-up slot. Default: 24 Hr
Avoid Slot Wastage
When enabled, this restricts bookings that would leave an unusable time slot between reservations, ensuring all court time is used efficiently. Default: Yes
Block Multiple Bookings at the Same Time
When enabled, players are prevented from creating multiple bookings on the same date and time. Default: No
Exact Players Required for Split Booking
When enabled, players must add exactly 4 players for doubles courts and exactly 2 players for singles courts in order to create a split payment booking. Default: Disabled
Booking Restriction
Once enabled, club managers can set a custom duration for bookings made after a certain time of day. Default: Disabled
Events Policies
Events Cancellation Allowed
Registered participants can cancel their event registration if needed. Default: Yes
Event Cancellation Time
The minimum number of hours before an event that a player can cancel their registration. Default: 24 Hr
Trainings Policies
Trainings Cancellation Allowed
Registered participants can cancel their training session registration. Default: Yes
Training Cancellation Time
The minimum number of hours before a training session that a player can cancel their registration. Default: 12 Hr
Training Auto Cancellation
When enabled, the system will automatically cancel a training if the minimum number of participants are not registered before the registration deadline. Default: Disabled
Private Lesson Policies
Private Lesson Booking Lead Time
The minimum number of hours required before the start time for a player to book a private lesson. Default: 12 Hr
Private Lesson Cancellation Allowed
Registered participants can cancel a private lesson booking. Default: Yes
Private Lesson Cancellation Time
The minimum number of hours before a private lesson that a player can cancel their registration. Default: 24 Hr
Private Lesson Trainer Switching
When enabled, players are allowed to change the trainer when scheduling or rescheduling a session. Default: Yes
Trainer Pricing Change
When enabled, trainers are allowed to update their own pricing. Default: No
Tournaments Policies
Tournament Cancellation Allowed
Registered participants can cancel their tournament registration. Default: Yes
Tournament Cancellation Time
The minimum number of hours before a tournament that a player can cancel their registration. Default: 6 Hr
Open Match Policies
PadelOS supports three types of open matches. Public Matches are open to all players on the platform — anyone can discover and join them. Invite Matches are private matches where the creator selects specific friends or players to invite, keeping the match closed to the general player pool. Super League Matches are a special type of open match that clubs can restrict to players who are part of a specific league, giving clubs control over who can participate in league-style play.
Each match type shares the same set of configurable policies below. A dedicated guide covering the differences between match types in more detail will be available separately.
Hide Match Rating When Logged Out
When enabled, match rating ranges are hidden from users who are not logged in. Default: Yes
Rating Step Size
Sets the minimum interval that users can select on the rating slider. Default: 0.1
Book Ahead Limit
Controls how many days in advance players can create open matches, configured per sport and court group. Example defaults:
Squash courts: 15 days
Tennis courts: 25 days
Padel courts: 40 days
Match Creation Lead Time
The minimum number of hours required before the start time to create a match. Default: 6 Hr
Pending Payment Cutoff
The time period invited players have to complete their payment after match creation to confirm their slot. Default: 48 Hr
Booking Cancellation Time
The minimum number of hours before a match that a player can cancel their booking. Default: 24 Hr
Court is Booked When
Sets the payment condition that triggers the court being reserved for an open match. Options include booking the court when 1 player has paid, 2 players have paid, or 4 players have paid. Default: 1 Player Has Paid
When set to 2 or 4 players, a Court Booking Grace Period becomes available (see below).
Court Booking Grace Period
Only applicable when "Court is Booked When" is set to 2 or 4 players. When the match creator books a match, the court is immediately reserved for the duration of the grace period (e.g. 6 hours), giving the creator time to fill the remaining spots. If the required number of players have not paid by the time the grace period ends, the court booking is released. This ensures courts aren't held indefinitely while still giving match creators a fair window to get their match filled. Default: 6 Hr
Allow User to Add Their Partners
When enabled, match creators can add their partners directly to the match rather than waiting for them to join independently. Default: No
Rating Range for Competitive Match
Sets the rating range above and below a player's rating within which they can join competitive matches. Default: Min 2 / Max 3
Rating Range for Friendly Matches
Sets the rating range above and below a player's rating within which they can join friendly matches. Default: Min 7 / Max 7
Chat Policies
Player's Direct Chat with Club
When enabled, players are able to directly contact the club through in-app messages. Default: Enabled
Wallet Policies
Wallet for Club
The club wallet feature is enabled, meaning players can store funds in their account for faster transactions. This can be used for bookings, events, and other payments. Default: Enabled
Wallet as Default Payment Method
When enabled, the wallet toggle in the player's booking flow will be turned on by default, making wallet the preferred payment method. Default: Enabled
Auto Charge for Unpaid Split Bookings
If other players in a split booking don't pay their share, the unpaid amount is added as a negative balance to the booking creator's wallet. Default: Yes
Maximum Negative Balance
Defines how far a player's wallet can go into a negative balance before they are blocked from making new bookings. Default: -100
General Refund Policies
Booking Refund Rule
If a player cancels their booking within the cancellation window, they will receive a full refund minus the platform fee. Default: Bank
Event Refund Rule
If a player cancels their event registration within the cancellation window, they will receive a full refund minus the platform fee. Default: Wallet
Training Refund Rule
If a player cancels their training session within the cancellation window, they will receive a full refund minus the platform fee. Default: Wallet
Private Lesson Refund Rule
If a player cancels their private lesson within the cancellation window, they will receive a full refund minus the platform fee. Default: Wallet
Tournament Refund Rule
If a player cancels their tournament registration within the cancellation window, they will receive a full refund minus the platform fee. Default: Bank
Ratings Category Names Visibility
When disabled, rating category names will not be displayed alongside ratings in the player-facing app. Default: Disabled
Allow Booking Cancellation after Cancellation Time
When enabled, players are allowed to cancel their booking after the cancellation time has passed, but they will not receive a refund. Default: Yes
