How to Create an Event

A step-by-step guide to creating events for your club.

Step 1 — Select Club

Use the Club dropdown at the top of the form to choose which club this event belongs to. If you manage multiple clubs, make sure you select the correct one before proceeding.

Step 2 — Basic Info

This section captures the core identity and classification of your event.

Event name: Enter a clear, descriptive name for the event. This is the primary title players will see when browsing.

Labels: Optional tags used for filtering and categorisation (e.g. women, rating, booking, lessons). Type to search existing labels or press Enter to create a new one.

Categories: Optional dropdown to assign the event to a predefined category.

Event Organisers: Assign one or more staff members as organisers. They will have management access to this event.

Select gender: Restrict event registration by gender if required. Leave blank to allow all genders.

Event type: Choose Public if the event is open to all players, or Invite only if players must be individually invited. Defaults to Public.

Club page visibility: Controls whether this event appears on the club’s public-facing page.

Description: Rich-text field for a full event description. Supports bold, italic, lists, and links.

Minimum & Maximum participants: Set the registration capacity bounds for the event. Leave blank for no limits.

Price per participant: Registration price charged to each participant.

Guest price: Price for guests brought by a registered participant. Only relevant if Allow Player To Add Guests is enabled.

Invite only events

When Event type is set to Invite only, players not invited will not see the event on the club page.

Step 3 — Sport

Select the sport associated with this event. This determines which courts are available for selection in the next step. Choose the sport (e.g. Padel) and the court list in the Assign Courts section will update accordingly.

Step 4 — Assign Courts

Control which courts will host the event sessions. Toggle Assign Courts on to reveal the Select Courts dropdown, then choose individual courts or use Select All. Each selected court creates a separate session row in the right-hand panel.

Once courts, a start date, start time, and end time are all selected, the right-hand Total Sessions panel shows each court with its availability status (Available or Conflict). Review this before saving to avoid double-bookings.

Step 5 — Rating Range

Restrict event registration to players within a specific skill rating band. Toggle Rating Range on to expose the Minimum Rating and Maximum Rating fields. Ratings run on a 1–9 scale. Leave Rating Range off if there is no skill-level restriction and any player can register.

Step 6 — Date & Time

Set when the event takes place. Select a Start date using the calendar picker, then set the Start time and End time. These values are also used to generate the court session list in the right-hand panel.

Recurrence

Enable the Recurrence toggle to create a repeating series from a single event entry. Set the frequency using the Every field (e.g. every 1 Day, every 2 Weeks). Then choose how the series ends:

  • On — the series ends on a specific calendar date.

  • After — the series ends after a specified number of occurrences.

Recurrence and conflicts

Each occurrence in a recurring series generates its own court sessions. Check the Total Sessions panel after setting recurrence to verify there are no conflicts across the series.

Step 7 — Registration Timing

Control when registration opens and closes relative to the event start date. Use Open Registration to set how many days before the event that player registration becomes available, and Close Registration to set how many days before the event it closes. Leave both as Not set if you want registration available immediately and indefinitely.

Step 8 — Participant Settings

Fine-tune how participants interact with registration and what is visible publicly.

Allow Player To Add Guests: When enabled, registered participants can bring guests according to your guest settings and pricing. On by default.

Show Participants On Event Public Page: When enabled, registered participants are displayed on the event detail view on the club page. Off by default.

Add Users In Waiting List: When the maximum participant limit is reached, new registrations are added to a waiting list instead of being rejected. Off by default.

Show Waiting List On Event Public Page: When enabled, the waiting list is displayed on the event detail view on the club page. Off by default.

Step 9 — Internal Notes & Media

Add supporting content for internal reference and the event’s public gallery.

Internal note: A private note visible only to admin users. Useful for operational reminders or staff instructions that should not appear to players.

Event Gallery: Upload one or more images to display in the event’s public-facing gallery. Click Upload Image to add files.

Attachments: Attach PDF documents to the event such as event rules or schedules. Click Upload PDF to add files.

Step 10 — Save the Event

Once all required fields are filled in and you have reviewed the court sessions panel for conflicts, click Save Changes at the bottom right of the form. To discard changes and return without saving, click Back.

After saving

You will be redirected to the event detail page. From there you can manage registrations, send invites (for Invite only events), edit any field, or delete the event.
