Step 1: Associated Clubs
Select which clubs this membership applies to. If you manage multiple locations, you can associate the membership with one or several clubs.
Step 2: General Information
Membership Title: Enter a name for the membership (e.g., "Premium Padel Membership").
Labels: Add labels to help categorise or filter memberships in the admin view.
Description: Provide a description explaining the benefits or purpose of this membership. The description editor supports basic formatting such as bold, italic, and lists.
Step 3: Visibility, Type & Verification
Club Page Visibility: Controls whether the membership is shown on the player-facing club page. Set to Enabled to make it discoverable by players.
Membership Type: Choose Public if the membership is open to all users, or Private if it requires an invitation from an admin before a player can join.
Verification Required: Choose whether customers need to be verified by the club before they can activate this membership.
Max Participants: Optionally set a cap on the total number of individuals allowed under this membership. Leave disabled for unlimited.
Step 4: Age Limit
Minimum Age & Maximum Age: If the membership is age-restricted, set the age limits here. Leave blank if there are no age restrictions.
Step 5: Durations & Pricing
Memberships can be configured as either Dynamic or Fixed:
Fixed: Sets a specific start and end date with a one-time upfront payment. Best for season passes or time-bound memberships. For example, a "Summer Package" running from 1 June through 31 August — players pay once and the membership expires automatically at the end of the period, with no recurring billing.
Dynamic: Allows you to set flexible pricing plans with recurring payments. When selecting Dynamic, each pricing plan has a Plan type with the following options:
Monthly (Auto-renewing): The player is charged a fixed price every month and the membership renews automatically until cancelled. When using this option, you can also set a Contract Duration (e.g. 6 months), which means the player is committed to paying every month for that period and cannot cancel before the contract term ends. Once the contract term is complete, they are free to cancel or update.
1 Month / 2 Months / 3 Months (and more): These are fixed-term plans where the player pays upfront for the full duration rather than on a recurring basis.
You can add multiple pricing plans to the same membership using Add Another Pricing Plan, giving players different options to choose from.
Each pricing plan also has an Availability setting (Enabled or Disabled). If you need to retire an existing plan — for example because many members are already on it and you want to introduce new pricing — you cannot delete it, but you can disable it. The old plan remains visible in the system for existing members, while new players will only see the active plans.
Step 6: Membership Benefits
Define the perks members receive when they hold this membership.
Book Ahead Limit: Set how many days in advance members can make court bookings and public open match bookings. This can be configured separately for court bookings and open matches.
Booking Cancellation Time: Set how many hours before a reservation or open match a member can cancel.
Event Discount: Define discounts for members registering for events. You can set a blanket discount that applies to all events (e.g. 20% off every event), or target specific events only — for example, no discount on weekend events but a discount on weekday off-peak events. Multiple combinations can be added to cover different scenarios.
Training Discount: Set discounts for members enrolling in training sessions. Like events, you can apply a blanket discount across all trainings or get specific — for example, no discount on peak-hour sessions but a 30% discount on weekday off-peak trainings. Add as many combinations as needed.
Tournament Discount: Set a percentage discount for members registering for tournaments, either across all tournaments or for selected ones.
Private Lesson Discount: Set a percentage discount for members booking private lessons.
Extra's Discount: Set a percentage discount applied when members add extras in court reservations or open matches.
Step 7: Membership Rules
Membership Rules give you fine-grained control over court booking discounts and limits for members. You can create as many rules as needed, each targeting a different combination of courts, days, and time slots — making it easy to build nuanced structures. For example: no discount during peak hours, but a 50% discount or free court hours during off-peak weekday slots. Each rule includes:
Courts: Select which courts this rule applies to.
Days: Specify which days of the week the rule is active (e.g., weekdays only, weekends only).
Time Range: Set a start and end time for when the rule is active.
Discount Percentage: Set the percentage discount applied to court bookings that fall within this rule.
Free Court Hours: Optionally grant members a set number of free court hours per day.
Discount Application: Choose whether the discount applies to the Player Portion only (the individual member's share of the court cost) or to the Total Court Charges (the full court price regardless of how many players are splitting).
Valid For: Choose whether the discount applies to Split Payments Only (when the court cost is divided among players) or Both single and split payments.
Booking Limits
Within each rule, you can limit how many discounted bookings a member can make over time. Limits can be set across five time windows:
Active Bookings Limit: Maximum number of concurrent active bookings.
Daily Bookings Limit: Maximum bookings per day.
Weekly Bookings Limit: Maximum bookings per week.
Monthly Bookings Limit: Maximum bookings per month.
Yearly Bookings Limit: Maximum bookings per year.
Each limit can be measured in number of Bookings or total Hours. Set to No Limit if you don't want to restrict usage.
Click Add Another Rule to create additional rules for different courts, time slots, or discount structures.
Step 8: VAT Adjustment
If this membership should carry a custom VAT rate, enable the VAT Adjustment and enter the percentage. This will override the standard VAT rate defined in club settings for members holding this membership.
Step 9: Save Membership
Once all settings are configured, click Save Changes to finalise the membership and make it available based on its visibility settings.
