Understand how PadelGPT works on the player side and what it can answer on behalf of your club.

PadelGPT is an AI-powered support assistant built directly into the player app. Its job is to answer player questions instantly, without needing a club admin to step in. For club administrators, understanding what PadelGPT can and can't do helps set the right expectations — and explains why the volume of routine support messages coming into your inbox should be significantly lower.


Where Players Find It

On the player side, PadelGPT appears in the Messaging section as the first chat thread — pinned at the top and always accessible. Players don't need to search for it or navigate anywhere special. It's the first thing they see when they open messages, making it the natural first stop for any question they have.


What PadelGPT Can Answer

PadelGPT is not a generic chatbot. It has access to your club's data and the player's own account information, which means it can give precise, personalised answers rather than vague general responses.

General Club Information

PadelGPT can answer any question about how the club works — booking rules, cancellation policies, opening hours, court types, membership options, event schedules, and more. If it's configured in your PadelOS settings, PadelGPT knows about it.

Account-Specific Questions

This is where PadelGPT goes beyond a standard FAQ. Because it can read the player's own data, it can answer questions that are specific to that individual player's situation. For example:

  • "I have a membership but my discount wasn't applied — why?" PadelGPT can look at the player's membership rules and the booking they made, and explain exactly why. For example: "Your membership discount applies from 5 PM onwards, but your booking was at 4 PM — so the discount wasn't triggered."

  • "Why has my wallet balance gone down?" PadelGPT can check the player's transaction history and explain each deduction. For example: "Your wallet was charged for booking #1234 on Friday 27 June — that's why your balance is lower."

  • "Am I registered for the upcoming tournament?" PadelGPT can check the player's event and tournament registrations and confirm their status.

  • "When is my next booking?" PadelGPT can pull up the player's upcoming bookings and give them the details directly.

  • "Is my membership still active?" PadelGPT can check the player's membership status, expiry date, and any associated benefits.


Why This Matters for Your Club

Every question PadelGPT answers is a message your support team doesn't have to handle. For clubs with hundreds or thousands of active players, this makes a significant difference to the day-to-day workload. Routine queries — discount questions, wallet queries, booking confirmations — are resolved instantly and automatically, at any time of day.

When a player's question is more complex or requires a human decision (for example, requesting a refund outside the cancellation window), they can follow up with the club directly through the same messaging section, and that conversation will appear in your Communication Hub for your team to handle.


What PadelGPT Cannot Do

PadelGPT can inform and explain — it cannot take actions on behalf of the player. It will not make bookings, process refunds, modify memberships, or cancel registrations. For anything that requires an action, the player will be directed to handle it themselves in the app or to contact the club.
