Creating and Managing a Training
A step-by-step guide to setting up a training in PadelOS, covering every field in the creation form.

What Trainings Are
Trainings are scheduled training sessions that players can browse and register for through the PadelOS player app. As a club, you publish a training with a defined schedule, and players sign up and pay to secure their spot.
Fixed Trainings come in two flavours depending on how many sessions you add to them.
Single Session Training
A single session training is exactly what it sounds like — one class, on one date, at one time. For example, a coaching session next Friday at 6 PM. Players see it listed, register, pay, and attend. Once the session is done, that training is complete.
This is the simplest format and works well for one-off clinics, trial sessions, or workshops.
Multi-Session Training (Package)
A multi-session training groups several sessions together into a single package that players purchase as a whole. For example, a six-week padel clinic every Friday at 6 PM — the player buys the full package of six sessions in one transaction, not each session individually.
This is an important distinction: the player is committing to and paying for the entire programme upfront. They are not buying individual sessions one by one. This makes multi-session trainings ideal for structured programmes, coaching courses, or recurring group classes where continuity matters.
Step 1: Club
Select which club this training belongs to.
Step 2: Basic Info
Name: The name of the training.
Labels: An internal tagging system used for your club's own reporting — not shown to players.
Categories: A player-facing category, distinct from labels. Categories let players filter trainings on their side — for example, "Introduction Classes" or "Advanced Classes" — so create categories based on how you want players to browse and discover trainings.
Description: A description of the training, shown to players.
Gender: Restrict the training to a specific gender if needed.
Club Page Visibility: Controls whether the training is publicly visible on the club page.
Add Trainer: Select one or multiple trainers to run the training.
Step 3: Registration Type & Pricing
Choose between Individual or Group registration.
Individual
Players register and pay one at a time.
Minimum / Maximum Participants: The overall floor and ceiling for how many individual players can join.
Price Per Participant: The price each individual player pays.
Group
Players register in fixed-size groups rather than individually.
You set how many groups can sign up, and how many people per group.
Example: If you set groups of 2, with a maximum of 2 groups, that means up to 4 people total can join, but every registration must be made in pairs — a player always buys at least 2 tickets at once, never just 1.
Step 4: Sport
Select the sport this training is for.
Step 5: Date & Time
Set the Start Date, Start Time, and End Time for the training.
Recurrence
Toggle this on if the training repeats. You can set the training to recur daily, weekly, or monthly. As you configure the recurrence, all generated sessions appear on the right-hand side of the form so you can review the full schedule before saving.
If Recurrence is left off, the training is a single session on the date and time you've set.
Step 6: Registration Timing
Open Registration: How many days before the start date registration opens to players.
Close Registration: How many days before the start date registration closes.
Both settings use the training's own start time as their reference point, not midnight. So if a training starts at 6 PM, and Open Registration is set to 1 month before, registration opens at 6 PM, one month before the training date. Likewise, if Close Registration is set to 3 days before, registration closes at 6 PM, three days before the training date.
Important: When registration closes, the system checks whether the Minimum Participants set in Step 3 has been met. If the minimum hasn't been reached by the time registration closes, the training is automatically cancelled, and any players who already registered and paid are automatically refunded.
Step 7: Additional Settings
Allow Player to Add Guests: When enabled, participants can register with guests according to your guest settings and pricing.
Show Participants on Coaching Public Page: When enabled, registered participants are displayed publicly on the training's page on the club site.
Add Users in Waiting List: When enabled, players can join a waiting list once the training reaches its maximum participant limit.
Show Waiting List on Coaching Public Page: When enabled, players on the waiting list are shown publicly on the training's page.
Step 8: Internal Notes, Gallery & Attachments
Internal Notes: Notes visible only to your club's admin team — not shown to players.
Gallery: Upload images to display alongside the training.
Attachments: Upload PDF documents related to the training (e.g. a class syllabus or waiver).
Step 9: Understanding Conflicts, Draft Mode & Publishing
As you add sessions — whether a single session or several via recurrence — PadelOS checks each one against trainer availability and court availability. If a session clashes with either, it's flagged as a conflict in the panel on the right.
At this point you have two options:
Resolve the conflict by adjusting the date, time, trainer, or court for that session, or
Save anyway, conflicts and all.
If you choose to save with conflicts present, the training is created in Draft mode — it is not published or visible to players yet. Sessions without conflicts are saved as they are; sessions with conflicts are saved too, but flagged for your attention.
While the training is in Draft, you can go back in and edit individual sessions one at a time — for example, if one session in a recurring series needs to move from its usual 9–10 AM slot to 11 AM–12 PM on a specific day, you can edit just that session without affecting the rest. You can also add or remove individual sessions from the draft before publishing.
Only once you're happy with every session — and any conflicts have been resolved or accepted — do you publish the training to make it visible and bookable for players.
Step 10: Save
Click Save Changes to publish the training. Before saving, check the Total Sessions and Conflicts panel on the right — this shows every session that will be created and flags any scheduling conflicts with existing court bookings.
Managing a Published Training
Once a training is published and players start joining, two tabs become available at the top of the training: a Players tab, showing all player activity for that training, and a Chat tab, which opens the group chat automatically created for everyone who's joined — accessible from there just like any other message thread.
